Service contracts that keep themselves running

Maintenance plans are steady revenue and a schedule that is full in advance. Set up a contract once; from then on Flixer Pro schedules the visits by postcode, sends the invoice on the agreed date and renews the contract on time.

What is maintenance contract software?

Maintenance contract software keeps track of which customers have a service contract or maintenance plan, when each installation is due and what is invoiced for it, and does the recurring work itself. In Flixer Pro a contract is one customer with one or more addresses, a visit rhythm and a billing rhythm. From that contract the service visits appear by themselves, they are scheduled by postcode with an engineer, the invoice goes out automatically on the contract date and the contract renews at the end of its term. You only see the exceptions: a customer who was not home, a payment that does not arrive, a contract that is ending. Existing contracts are loaded from an Excel file or an export of your old system. From 65 euro per month.

Start with the contracts you already have

You load your existing contracts from an Excel file or an export of the system you use today: customer, address, installation, visit rhythm and price. Flixer Pro schedules the next visits on the existing dates and keeps invoicing, so the switch costs you no visit and no invoice.

Forty addresses, spread over the year

A managing agent with forty boilers is one contract with forty visit dates. Each address keeps its own rhythm, so the maintenance is spread over the year instead of landing on the schedule in a single month.

Scheduled by postcode, in one trip

Visits that fall in the same neighbourhood land on the same day with the same engineer. Flixer Pro prepares them in the schedule overnight, sorted by postcode area, so nobody has to ring round or puzzle it out with a map.

The invoice goes out by itself

The contract fee is invoiced on the contract's rhythm, not the visit's. Move a service visit and the invoice does not move with it: it goes to the customer automatically on the agreed date.

Frequently asked questions about service contracts

Can one contract cover several addresses?

Yes. A contract belongs to a customer and covers one or more addresses, each with its own installation and its own visit date. A managing agent with forty properties fits in one contract.

How does scheduling by postcode work?

Flixer Pro groups the service visits that fall in the same period by postcode area and schedules them on one day with one engineer. After that you can drag any appointment in the schedule, like any other job.

What happens when a visit is moved?

The schedule moves, the invoice does not. The contract fee buys coverage for a period, not an appointment, so the invoice stays on the agreed date and goes out automatically.

Does a contract renew automatically?

Yes. At the end of its term the contract is renewed unless you cancel it. The customer has accepted the contract document, and the price can be indexed yearly.

Can I import my existing contracts?

Yes, and that is the normal way to start. You load your contracts from an Excel file or from an export of the system you use today, with the customer, the addresses, the installations, the visit rhythm and the price per contract. From that moment Flixer Pro schedules the next visits and invoices on the existing dates, so no visit or invoice falls through the cracks during the switch.

Can I offer a maintenance plan to private customers?

Yes. A contract works for private and business customers alike: a homeowner with one boiler is a contract with one address, a managing agent with forty properties is a contract with forty addresses. Price, visit rhythm and term are set per contract.

Is this only for boilers?

No. A contract covers any installation you record at an address: boilers, heat pumps, air conditioning, solar panels or a whole plant room. For each installation Flixer Pro keeps the brand, type and serial number, so the engineer knows what they will find.

What is left for me to do?

Set up the contract, or load your existing contracts, and have the customer accept it. After that you only look at exceptions: a customer who is not home, a payment that does not arrive, or a contract you do not want to renew.
