Google Calendar integration

Your jobs sit in the calendar you already have open all day, and what you move there moves the planning in Flixer Pro too. The other way round, your own appointments block the planning, so nobody schedules you when you are not there.

In short

The Google Calendar integration puts your jobs into a separate Flixer Pro calendar inside your own Google account. Move a job in Flixer Pro and the appointment follows; move the appointment in Google Calendar and the job follows. Your existing appointments count as busy time so the planning cannot double-book you, and an appointment that is really work can be turned into a job. Everyone connects their own calendar.

What moves, and which way

This is the first integration that handles changes on both sides. What you move counts, wherever you move it.

    Flixer Pro → Google Calendar

    A scheduled job appears in a separate calendar named after Flixer Pro. You can switch that calendar on and off in Google on its own, so work does not run through your personal appointments.

  • What you move in your calendar

    Google Calendar → Flixer Pro

    Drag the appointment to another time and the job in Flixer Pro moves with it. No need to make the same change twice.

  • Your own appointments block the planning

    Google Calendar → Flixer Pro

    Anything already in your calendar counts as busy time. Whoever builds the planning sees that you are unavailable and cannot put a job on top of it.

  • Turning an appointment into a job

    Google Calendar → Flixer Pro

    If your calendar holds an appointment that is really work, link it to a job or turn it into one. It then runs through the planning and the paperwork like anything else.

When the sync runs

Continuously, on both sides. Nothing to refresh: schedule a job and the appointment is in your calendar, move it from your phone in the evening and the planning is updated before you leave in the morning.

How to connect Google Calendar

Everyone does this for their own calendar. It comes down to signing in and granting access.

  1. Open Settings, Integrations

    Sign in to Flixer Pro and go to Settings, then Integrations. Click Connect on Google Calendar.

  2. Sign in at Google

    You sign in with your own Google account and grant Flixer Pro access to your calendar. You connect only your own calendar, never a colleague's.

  3. Flixer Pro creates a separate calendar

    A separate calendar for your jobs appears in your Google account. Your personal appointments stay exactly where they are.

  4. Done

    From then on your jobs are in your calendar, and whatever was already there counts as busy time in the planning.

    The integration works per person. Anyone who wants their jobs in their calendar connects their own account.

  • An account in Flixer Pro

    You connect your calendar to your own user, so the connection follows your account.

Questions about the Google Calendar integration

Will my jobs be mixed in with my personal appointments?

No. Flixer Pro creates a separate calendar in your Google account and puts your jobs there. In Google you switch that calendar on or off with a single tick, without touching the rest of your appointments.

Is the integration genuinely two-way?

Yes. Move a job in Flixer Pro and the appointment in your calendar moves with it. Move the appointment in Google Calendar and the job in the planning moves with it. That is the difference from the accounting integrations, which run one way only.

Do my own appointments block the planning?

Yes. Anything already in your calendar counts as busy time. Whoever builds the planning cannot put a job on top of it, so a dentist appointment or an afternoon off does not need reporting separately.

What does Flixer Pro see of my calendar?

Flixer Pro reads your calendar, because otherwise it cannot know when you are busy and you could not turn an appointment into a job. You connect only your own calendar, and only you switch that connection on.

Can I turn a calendar appointment into a job?

Yes. If your calendar holds an appointment that is really work, link it to an existing job or create a new one from it. After that it runs through the planning and the paperwork.

Does everyone have to do this themselves?

Yes, deliberately. The integration works per user, so everyone keeps their own calendar and nobody can reach into someone else's.

Can I connect Outlook instead?

Yes. The Outlook calendar integration works the same way, with both Microsoft work and personal accounts. If your team uses both, tell us and we will help work out which suits your crew.
